Make Suppliers Price the Same Window, Not the Same Label

A useful double-hung window quotation begins with the operation. Mark whether the upper and lower sashes both move, how each sash is retained and balanced, whether either sash tilts or removes for cleaning, and which view defines handing and hardware positions. Add the rough opening, frame and fin interface, glass build-up, grid pattern, screen, locks, opening controls, finish and required performance file.

Then require every supplier to return the same schedule. Public product pages can establish that a company offers double-hung or single/double-hung windows; they do not prove the offered balance system, glass, reports, factory, capacity, MOQ, delivery, packing or destination compliance. A lower total is not comparable when it omits the top sash operation, screens, spare balances, crating or import documents.

Issue a Sash-Control Brief Before Looking at Prices

Give every candidate one unit schedule with an interior-view elevation and sections through head, jamb, meeting rail and sill. Assign a window ID and drawing revision. State which sashes move, the target vent positions, tilt or removal requirement, balance type if already selected, glass and grid, hardware, screen, opening-control requirements, finish, installation interface and destination evidence. If the supplier proposes a different system, require a redlined drawing and a separate alternative price.

Use a six-panel control board with the supplier’s return open beside the project schedule. The objective is to expose assumptions before a sample or deposit, not to approve engineering from a website.

Build a Quote Exception Log for Glass, Hardware and Packing

Create one line for each difference: exception ID, supplier, window ID, base requirement, offered alternative, reason, drawing reference, affected hardware or glass, performance-file effect, price effect, schedule effect, decision owner and status. Ask how MOQ is applied: total order, one material family, one profile color, one glass build-up, one grid pattern or one hardware set. Ask whether sample, balance tooling, custom grid, packaging and freight are separate. Require a quotation expiry date. Write the Incoterm with a precise named place and rule version, and have the importer or its broker confirm destination requirements rather than inferring them from a supplier’s province.

Before production, freeze the drawings, glass, balance and hardware schedules, finish sample, evidence matrix, approved sample, inspection plan and package drawing. Before shipment, reconcile unit and crate IDs across inspection records, labels, packing list and commercial invoice. Record spare balances, locks, screens and loose installation parts against the affected window IDs.
