Make the Display a Reliable Sales Reference
A customer may point to a sample and say, “the same window, but wider.” That request leaves several decisions open: panel arrangement, glass, screen, finish and hardware. Start with a small, identifiable sample library. Give each physical sample a display ID, photograph it, and link it to a dated configuration sheet. The ID belongs to that sample, not to every window carrying the same series name. Keep customer enquiries in separate records linked back to it.

This is a suggested dealer record, not an assertion about a supplied software system. A spreadsheet or controlled document can work. Keep the display ID on the physical label and the same ID beside its photograph; avoid relying on a folder called “latest samples.”
Display Configuration Is Not Customer Configuration
Consider an illustrative sample D-01 showing a two-track, two-panel window. One customer requests four panels; another asks for a different finish. Keep D-01 unchanged. Create separate enquiry records showing the requested panel layout or finish, with each marked pending confirmation until the relevant proposal is returned.
If the physical display is later rebuilt, assign a new revision and retain the earlier sheet. Otherwise, a salesperson could unknowingly send a photograph of the revised sample with specifications belonging to the original one.

Choose Samples for Your Sales Conversation
A finish reference helps explain appearance; a section sample helps discuss a visible junction; an operating unit helps explain movement. Request the format needed for the question your customers actually ask. Confirm what can be prepared and how it should be supported or handled before planning a showroom display.
Keep samples for different systems independently identified. A sliding-window demonstration does not explain the operation of an exterior heavy sliding door. Use Order References for Repeat Enquiries
When a customer returns, retrieve the previous approved order reference, not just the showroom sample name. List what stays unchanged and what is being requested differently. Ask Rogenilan to confirm the current proposal against that record; matching appearance does not establish component interchangeability.
If a sample is retired, keep its photograph and revision accessible for enquiries connected to earlier sales, but remove it from the active selection list. Do not silently substitute a newer display when answering a question about a previous order.
Separate Sample Costs from Dealer Order Pricing
Request separate quotation lines for sample preparation, glazing, selected finish, any display support, packing and transport. State whether you want a portable reference or a complete operating unit. Confirm charges, preparation time and any sample-credit terms in writing; free samples, discounts and stock availability are not assumed.

No. Keep both: the model identifies the product reference; the display ID identifies your particular physical sample and revision.
Can one sample represent every panel arrangement?
No. Record the demonstrated layout and identify other requested arrangements separately for confirmation.
Does requesting samples establish an exclusive dealership?
No. Any dealership, territory or commercial agreement requires separate discussion and written terms.
Can an old display be used to reorder a customer window?
Use it as a reference only. Retrieve the approved order and ask for confirmation of the current configuration and any changes.
