Start With the Unresolved Decisions

A developer’s schedule, an architect’s elevation and a contractor’s site note may describe the same opening differently. Sending all three without identifying the conflict leaves the quotation basis unclear. The useful meeting output is a short record of the decision required, the person responsible and the document that will close it.

Rogenilan’s real April exhibition photographs show our window displays and face-to-face discussions. For October, arrange the review in advance and identify the samples you want to examine. Exhibition participation gives you a point of contact; it does not replace project-specific technical acceptance.

RGNL-116: A Defined Product Reference

The RGNL-116 thermal-break system window provides a concrete starting point. Its documented opening alternatives allow a discussion of different room layouts, but each opening needs its own selected arrangement.

Classify Each Issue Before Discussing Price

  • Conflict: two documents disagree. Record both references; do not silently choose one.
  • Missing information: a required field is blank. Ask who can supply it and when.
  • Reference only: a photograph or booth sample shows an idea, without defining the order specification.

This distinction prevents a missing measurement from becoming an assumed dimension. It also stops an attractive display sample from being treated as evidence that a particular glazing or hardware package has been approved.

A Three-Opening Review Worksheet

The cases below are illustrative procurement examples, not measurements or records from a Rogenilan customer project. Replace the opening marks and document references with your own.

W-01: the schedule gives a structural opening; the elevation labels a frame dimension. Ask the designer to identify each dimension basis. Obtain a coordinated opening and frame detail before treating the size as final.
W-02: the elevation appears left-hinged, but its viewing side is unstated. Label interior or exterior view and confirm hinges and movement. Close with one annotated elevation acknowledged by the project team.
W-03: one window mark covers several rooms with different obstructions. Ask whether the arrangement can remain identical. Split the mark where required and reconcile quantities against the room list.

Add an issue number, drawing revision, responsible person and target response date to each row. Keep the original question alongside the answer. Closing a row should reference a revised document, not merely the words discussed at booth.

For W-01, keep three concepts separate: the building opening, the outer frame and the glazing size. Do not subtract a generic gap from one to invent the next. Installation interfaces and glass dimensions require their own confirmed details.

Keep Quote Assumptions Visible

Use three commercial statuses: ready for a budget comparison, awaiting a design answer, and not yet reviewed. None means approved for manufacture. Where a preliminary quote uses an assumption, place that assumption beside the affected opening and identify what could change the price.

Relevant changes include opening arrangement, selected glass, finish, accessories and quantities. Ask for revised lines after an issue is resolved, rather than comparing totals based on different assumptions. Request separate written terms for any exhibition offer; do not assume an unresolved configuration qualifies.

Send a Focused Review Pack

  1. Provide the project name, destination, drawing revision and preferred meeting date.
  2. Attach the opening schedule and the elevations that contain the flagged issues.
  3. Identify quantities, requested operation and the person authorized to resolve each design question.
  4. List samples or documents you want to examine, and request availability confirmation.

Remove unrelated personal information from drawings. After the meeting, circulate one consolidated issue register and identify who will confirm the revised quote basis. Agree the next approval step separately from the booth conversation.

Drawing Review Questions

Can I bring drawings that are not final?

Yes. Mark them preliminary and highlight the decisions still open. They can support discussion, but should not be presented as approved manufacturing information.

Does a 116 mm system width determine the order size?

No. It identifies a system dimension, not the building opening, complete frame width and height, or glass cutting size.

Will the booth display match my proposed configuration?

Do not assume so. Send the model and configuration beforehand, then confirm which samples and documents can be reviewed.
